Privacy policy

What we collect when you apply for a trade account or place an order, why we hold it, and how to get it corrected or removed.

1. Who we are

Total Wholesale ("we", "us") supplies goods to trade customers from 41 Herbert Road, IG3 8AL, United Kingdom. We are the data controller for the information described in this policy.

2. What we collect

  • Business details — registered company name, company or VAT number, trading address and your store or marketplace link.
  • Contact details — the name, business email and phone number of the people who deal with us.
  • Order records — quotations, orders, invoices, delivery addresses and payment status.
  • Site usage — anonymised analytics about how pages are used, so we can improve the catalogue.

We do not knowingly collect data from consumers, and we do not store full card numbers.

3. Why we hold it

To verify that applicants are genuine businesses, to process and deliver orders, to issue invoices and meet our tax and accounting obligations, to provide support, and to tell you about products relevant to your account. The lawful bases we rely on are performance of a contract, our legitimate interest in running a trade-only supply business, and compliance with legal obligations.

4. Who we share it with

Only where necessary: couriers and freight partners to deliver your order, payment providers to take payment, our accountants and auditors, and regulators where the law requires it. We do not sell business data to third parties.

5. How long we keep it

Order and invoice records are kept for six years to meet UK tax and accounting requirements. Applications that do not result in an account are deleted after twelve months. Marketing contacts are removed as soon as you unsubscribe.

6. How we protect it

Data is transmitted over TLS, access is restricted to staff who need it for their role, and we review our handling practices periodically. No system is perfectly secure, but we will notify you and the ICO where required if a breach affects your data.

7. Your rights

You can ask for a copy of the data we hold about you, ask us to correct or delete it, object to processing, or ask us to restrict it. Email sales@totalwholesale.org and we will respond within one month. If you are unhappy with our response you can complain to the Information Commissioner's Office at ico.org.uk.

8. Cookies and analytics

We use a small number of cookies to keep the site working and to measure page usage in aggregate. You can block cookies in your browser settings; the catalogue will still work.
